Terms and Conditions – Run the Runway 2025
By registering for and participating in Run the Runway 2025, you agree to the following terms and conditions:
1. General Information
1.1. Event Organiser: Run the Runway 2025 is organised by Hawke’s Bay Airport Limited.
1.2. Event Date and Time: The event will take place on Saturday, 1 February 2025, starting at 6:00pm. Participants must arrive by 5:00pm for registration.
1.3. Event Location: The race will take place on the runway at Hawke’s Bay Airport, Napier, New Zealand.
1.4. Cancellation: Hawke’s Bay Airport aerodrome operates 24/7 for aero medical flights, therefore the event may be cancelled at any time including at the time of the race. Weather-related cancellation will be made by 3:00 pm on race day. No alternative date will be scheduled
1.5. Participants: The event is limited to 200 runners aged 18 years or older. Spectators are not permitted.

2. Registration and Fees
2.1. All participants must register in person during the following times:
• Friday, 31 January 2025: 1:00pm–6:00pm
• Saturday, 1 February 2025: 9:00am–12:00pm
2.2. Photo ID is required for registration. Participants who fail to register within the stated times will not be allowed to compete.
2.3. A mandatory minimum donation of $20 to the Graeme Dingle Foundation is required to secure your entry. This donation is non-refundable.

3. Fitness and Participation Requirements
3.1. Participants should be capable of running 5km in under 35 minutes. This is a running event and walking is not permitted.
3.2. Participants will be provided with a reusable ankle tag for timing at registration. Failure to return the tag will result in disqualification.
3.3. Participants must sign an event waiver during registration to confirm they are physically fit and understand the risks associated with the event.

4. Safety and Conduct
4.1. The event takes place on an operational airfield. Participants must adhere to all instructions from event staff and stay within designated areas at all times.
4.2. Parking will be provided for participants; however, the organiser accepts no liability for any damage or loss to vehicles or personal property.
4.3. Any participant found to be engaging in unsafe or disruptive behaviour will be disqualified and removed from the event.

5. Liability and Waiver
5.1. By participating in Run the Runway, participants acknowledge that running on an airfield involves inherent risks, including but not limited to uneven surfaces and potential cancellation due to operational requirements.
5.2. Hawke’s Bay Airport and associated parties shall not be held liable for any injury, loss, or damage incurred during the event, except where such injury, loss, or damage is directly caused by gross negligence.
5.3. Participants agree to indemnify Hawke’s Bay Airport and its partners against any claims arising from their participation in the event.

6. Event Timing and Prizes
6.1. The race will be officially timed using reusable ankle tags.
6.2. Prizes will be awarded to the top 3 male and female runners. Decisions regarding winners are final and not subject to dispute.

7. Cancellation Policy
7.1. The event may be cancelled at any time due to weather, flight delays, or other operational requirements. A cancellation for weather will be communicated by 5:00pm on race day. The race could be cancelled prior to the race start time.
7.2. In the event of cancellation, registration fees will be refunded less any administration fees. Additional donations made by the participant are non-refundable.

8. Privacy
8.1. Participant data collected during registration will only be used for Hawke’s Bay Airport Limited purposes and will not be shared with third parties without consent.

9. Amendments
9.1. The organiser reserves the right to amend these terms and conditions at any time. Participants will be notified of material changes via their registered email address.

Refund Policy
10.1. All proceeds from this event support the Graeme Dingle Foundation.
10.2. If a participant requests a refund, 50% of the ticket price will be refunded, excluding any administrative fees, which are non-refundable.
10.3. The cut-off date for refund requests is 10 January 2025. No refund requests will be accepted after this date.
10.4. Refunds are processed by Humanitix and may take up to 5 – 7 days to appear in your account.

Terms & conditions of competition

  • For the purposes of these Terms and Conditions, “The Promoter” refers to Hawke’s Bay Airport.
  • By entering the competition, you agree to be bound by these terms and conditions.
  • The Promoter’s competition with entry via Facebook is open only to residents of New Zealand, over 18 years old.
  • No purchase necessary. Winners will not be required to pay to enter the competition.
  • Employees of the Promoter are not eligible to enter.
  • Facebook/Meta are not in any way affiliated or involved in the competition.
  • Each entrant shall enter the competition the Hawke’s Bay Airport Facebook page by adding a photo to the competition post. Private messages will not be accepted as an entry.
  • The Prize will be awarded to a randomly selected winner, using a random number generator. The Promoter will not be held liable if the named prize becomes unavailable or cannot be fulfilled. The winner will be posted to our Facebook page within 3 days of the competition closing date.
  • If the prize winner cannot be contacted within 3 days of the closing date, at promoter’s option the winner may be taken to have forfeited the prize and a substitute winner may be selected.
  • The Promoter will not be held liable for any failure of receipt of entries. The Promoter takes no responsibility for any entries that are lost, delayed, illegible, corrupted, damaged, incomplete or otherwise invalid.
  • To the extent permitted by applicable law, The Promoter shall not be liable under or in connection with these terms and conditions, the competition or any Prize for any indirect, special or consequential cost, expense, loss or damage suffered by a participant even if such cost, expense, loss or damage was reasonably foreseeable or might reasonably have been contemplated by the participant and the promoter and whether arising from breach of contract, tort, negligence, breach of statutory duty or otherwise.
  • Prizes are non-negotiable, non-transferable and non-refundable. No cash alternative is available. Where a Prize becomes unavailable for any reason, the Promoter reserves the right to substitute that prize for a different prize which may not be of equal value.
  • The name, address and phone number of the winner must be provided to the Promoter if requested and will be shared with the donator of the prize to enable fulfilment of the Prize.
  • In the event of unforeseen circumstances beyond the Promoter’s reasonable control, the Promoter reserves the right to cancel, terminate, modify or suspend the competition or these terms and conditions, either in whole or in part, with or without notice.
  • The Promoter’s decision is final. No correspondence will be entered into.
  • The winner’s name and social media username may be posted on the social media profiles of the Promotor after the winner has been selected.
